Policies & Billing

THANK YOU for learning with us! Everything you need to know about scheduling, tuition, cancellations, and office closures. We love watching our students become confident learners and we want you and your students to benefit and enjoy the journey as much as we do.

Tuition is billed monthly in advance. Credit cards are charged on the 23rd for the upcoming month of service (i.e. October tuition is billed September 23rd). ACH Payments are run on the 20th. 

Tuition and Payment
Tuition is paid at the beginning of each month and is non-refundable. Sessions are not canceled. Unattended sessions are forfeited, except as provided below.

Make-Up Sessions
Only appointments canceled because of severe illness or emergency are eligible for a make-up session. The make-up session must take place within two weeks of the original session date and is subject to the clinician's regular availability. A make-up session not used within the two-week period is forfeited.

Other Cancellations and No-Shows
Appointments canceled for any reason other than severe illness or emergency, and appointments missed without notice, are not eligible for rescheduling.

Frequent Absences
Clients who frequently miss appointments may be asked to discontinue.

Clinician Absences and Closures
If a clinician cannot provide a session, we apply a credit for that session to the following month's bill. Monthly tuition has already been adjusted for days the agency is closed. Closure dates are listed below and updated each school year.

Our Commitment
HGA is committed to providing high-quality services based on the latest evidence-based programs. Policies and fees reflect this commitment and are designed to ensure that clients receive the best possible intervention.

Fall/Winter/Spring/Summer schedules are made according to your school calendar and clinician availability. Current clients are given priority during scheduling periods. New clients are enrolled based on openings. We strive to accommodate your scheduling needs, but please understand that calendars fill up quickly.

Closed Dates 2026-27: The office will be closed on the following dates: Labor Day (Sept 7), Thanksgiving Break (Nov 26-29), Winter Break (Dec 21 – Jan 1), Spring Break (March 15-19), Memorial Day (May 31), Independence Day (July 5).
